This Privacy Policy explains how TrueBot ("TrueBot", "we", "us", or "our") collects, uses, stores, and protects user data when you use our Telegram bot, website, and related services.

TrueBot is a maritime job assistant for seafarers. It helps users find maritime job vacancies, create a seafarer profile, generate professional job application emails, attach a CV, and send applications to crewing companies using the user's connected Gmail account.

TrueBot is currently operated by Andrii Radolov as an individual. In the future, TrueBot may be operated by a company. If this happens, this Privacy Policy will be updated.

We use your information only to provide, maintain, secure, and improve TrueBot's user-facing features.

4. Google User Data and Gmail Access

TrueBot uses Google OAuth only when you choose to connect your Gmail account.

This permission allows TrueBot to send emails on your behalf.

TrueBot uses this permission only to send job application emails that you prepare and confirm inside the bot.

TrueBot stores your Google email address and OAuth token only to keep your Gmail connection active and allow you to send job application emails through the bot.

You can disconnect Gmail by contacting support at messageradolov@gmail.com. After Gmail is disconnected, TrueBot will no longer be able to send emails from your Google account.

We do not use Google user data to train, improve, or develop generalized artificial intelligence or machine learning models.

TrueBot's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

TrueBot may use AI service providers, such as Anthropic Claude or similar language model providers, to help parse CV text, structure profile information, and generate professional job application emails.

We do not use Google user data to train AI models.

AI processing is used only to provide user-facing TrueBot features, such as CV parsing and application email generation.

We do not sell your personal data.

We may share limited information only when necessary to provide the service.

Google APIs:

Used to authenticate your Google account and send Gmail messages after your confirmation.

Telegram:

Used to operate the Telegram bot interface and communicate with you inside Telegram.

AI service providers:

Used to parse CV text, structure profile data, and generate application emails.

MongoDB Atlas:

Used to store user profiles, settings, application history, Gmail connection status, and related service data.

Hetzner Online:

Used for server hosting. Our VPS is hosted in Nuremberg, Germany.

Vercel:

Used to host the TrueBot website and related web pages.

Crewing companies and recruiters:

When you confirm sending a job application, your email, CV, and application content are sent to the selected company or recruiter email address(es).

Payment providers:

In the future, TrueBot may offer paid features using payment providers such as Stripe and/or Telegram Stars. If payments are enabled, payment providers may process payment-related information. TrueBot does not store full card numbers or bank card details.

We may also disclose information if required by law, to protect our rights, to investigate abuse or security incidents, or to prevent fraud.

TrueBot stores data using MongoDB Atlas and servers hosted by Hetzner Online in Nuremberg, Germany.

The TrueBot website is hosted on Vercel.

Access to production systems and user data is limited to the TrueBot operator and an authorized partner who helps operate and maintain the service.

We use reasonable technical and organizational measures to protect user data, including:

8. Data Retention

We store user data only for as long as necessary to provide the service or until you request deletion.

Typical retention periods:

If a user does not use TrueBot for 60 days, we may delete or anonymize the user's profile, uploaded CV, Gmail connection data, and application history.

After receiving a deletion request, we will delete or anonymize your personal data unless we are legally required to keep certain information.

We are working on adding self-service data deletion directly inside the bot. When this feature becomes available, users will also be able to delete their data from the bot interface.
